Meet the Executive

What is the Executive? It is a fancy word to describe the members of School Council and Parent Society that were voted in by the parent body. They are responsible for meeting with school administration, and setting the direction for the year.

Sounds Scary! Not at all! True, there is some fancy language (making motions, being a second, voting, AGMs etc) but you really don’t need to be an expert before joining.

But I don’t know what any of this means! Thats OK! All that is required is dedication to see it through to the end, and all the rest can be learnt along the way. The outgoing executive will make sure that you are up and running, and will remain available for questions.

  • President

    Susan Hume — 2023

    The president runs the meetings, and acts as chairperson to keep us on schedule. They also provide general supervision of all activities of the School Council and acts as our official spokesperson.

    They generally meet with school Administration at least once or twice a month, and will meet with the executive to prepare the agenda and any other business.

    Time Commitment

    Varies depending on what’s going on, and the job-sharing with the co-president

    Meet with admin: 1-3 times a month
    Meet with executive: 1-3 times a month, or combined with the above
    General meeting: 1 per month

  • Vice President

    Marcy Dees — 2023

    The Co-Vice Presidents aid the President in all tasks as needed, can run meetings in their absence or take over the role completely if the president resigns, is incapacitated or takes a leave of absence. They may also act as the President of the Fundraising Society.

    This is a great way to job share with a friend, to spread the load!

    Time Commitment

    Varies depending on what’s going on, and the job-sharing with the president

    Meet with admin: 1-3 times a month
    Meet with executive: 1-3 times a month, or combined with the above
    General meeting: 1 per month

  • Treasurer

    Jason Ning — 2023-2024

    The treasurer is responsible for keeping our accounts up to date and preparing the budget for the Parent Society.

    Budget preparation is in April, and involves consultation with the School Administration and the Council Executive. The budget is presented and voted on in the May council meeting.

    At the end of our financial year, they will prepare, or supervise preparation of the financial statements for the annual report.

    May act as the Treasurer of the Fundraising Society.

    Time Commitment

    At least monthly bank deposits and cheque writing: 1-5 cheques per month, and a handful of receipts.

    Once per month, prepare and present a high-level financial summary of the accounts for the monthly School Council meeting, and on our website.

  • Secretary

    Sally Steeves — 2022-2023

    The secretary prepares the agenda, and takes minutes in the meetings.

    The agenda is usually a collaboration with the executive and school administration, and may involve sending out a call for items a week ahead of the meeting. After the meeting, the minutes are created usually from the rough notes, and published to the website.

    The secretary will also maintain records of all the Members of the School Council and their addresses, keep our website updated, and help with emails and other communications.

    They will post notices of the Annual General Meeting (AGM) and Monthly Meetings and proceedings in accordance with our Bylaws

    May act as the Secretary of the Fundraising Society

    Time Commitment

    Agenda preparation: 1 hr/month
    Meeting Minutes: 1-2 hr/month
    Other Communications: 1-2 hr/month, depending on what’s going on.

  • Webmaster / Digital Director

    Hina Thaker — 2022-2023

    The webmaster assists with all things digital. This includes maintaining the Squarespace website, Google Suite & DNA, and the Zoom account.

    They usually also run and moderate the monthly meetings, which allows the executive to focus on the meeting itself, while the moderator tends to the Zoom chat, Q&A, and running the voting.

    They are a Member At Large, so are part of the board, but not the executive, which means they have no signing authority.

    Time Commitment

    Monthly meetings: 2 hr / month
    Website updates: 1 hr / month
    Other account management: 4 hr/year

  • Key Communicator

    Samantha Brook — 2022-2023

    The Key Communicator receive the Key Communiqué newsletter from the CBE and share the information back with the school council, updates the website Blog and drafts all communications on social media platforms on behalf of Parent Council.

    The Key Communicator also attends Council of School Councils (COSC) meetings.

    Time Commitment

    Executive Collaboration: 1-2 hr/month

    Social Media Postings: 1-2 hr/month, depending on what’s going on.

  • Back-up Treasurer

    Sindhu Srinivasan — 2023-2024

  • Director at Large

    A Director at Large is a member of the executive, without a specific role. They are elected either by the executive or the parent body.

    As a member of the executive, they can help out with council business, but typically do not have signing authority.

    Being a Member at Large is a great stepping stone to a named position, and is also a great way to job share with multiple roles.

    Time Commitment

    Depends greatly on how the board is structured, and which tasks the member will be performing.
